How Do I Compare Purchase Warrior Data to Data in Tenzo?

Compare against Purchase Warrior’s Purchased Items report for the same site and day. To download it:

  • Click the three vertical dots in the upper right-hand corner and select Reports.
  • Under Request Report, in Purchase Reports, select Purchased Items.
  • Fill in the dates and location, set Date Type to Delivery Date, and click Create Report Request.

Remove the report’s cancelled orders and its credit note rows (the capitalised statuses such as PENDING, COMPLETED and REJECTED in the Order / Credit Status column). What remains should match Tenzo line for line, both excluding and including VAT, once you allow for the points below.

  • Which day a purchase lands on. Orders are dated by the day they were received (the report’s Receipt Date).
  • Credit notes are not imported. Tenzo shows what was ordered or invoiced, before any credit notes. The Purchased Items report lists credit note lines as positive figures under the order they credit, with that order’s dates, so leave those rows out when comparing.
  • Invoiced values replace ordered values. Tenzo uses the supplier’s invoiced quantity and cost once a delivery has been invoiced, and the ordered values until then. Recent days can change as invoices arrive; Tenzo refreshes the last 30 days every day, but changes made in Purchase Warrior to purchases older than that aren’t picked up automatically.
  • Quantities are counted in packs. A quantity of 4 on “24 x 200ml” means four cases of 24. Wine bought by the bottle from a case shows as a fraction of a case, e.g. 2 bottles from a case of 12 shows as 0.17. Weighed items sold in 1 kg packs therefore show their weight in kg.
  • Overheads are included. Overheads purchases (cleaning, stationery, small equipment and so on) are imported so Tenzo’s total matches Purchase Warrior’s. Ask us if you’d like them excluded from your reports.
